Set Up Plug'n Pay for GAP Toolbox
An e-Commerce merchant account is required for Plug'n Pay. Please contact Seller Support for more information on setting this up on your GAP Toolbox account if you have not already done so.
Plug'n Pay can only be used to invoice bidders if it is setup before creating a cross-listed timed auction.
Get Started with atgXL
Built to maximize your hammer prices, atgXL is a multi-marketplace integration from Auction Technology Group (ATG) that allows you to seamlessly list your auction on multiple ATG platforms.
Special Considerations
There are some considerations that need to be made when creating and cross-listing your Proxibid Timed auction:
- Changes and edits should be made primarily in AuctionBuilder. These changes, for the most part, will automatically synchronize with GAP Toolbox.
- There are some features that are not available with cross-listed timed auctions. See the table below for more details.
- Auctions should be published in AuctionBuilder at least one hour before the event's Start Time. This allows Proxibid enough time to feed details into GAP Toolbox and confirm all auction options before bidding begins.
- Once an auction's Start Time has passed, event details cannot be edited. If edits/adjustments must be made after the auction start time, please contact Seller Support.
- Images can take time to export and sync to your additional marketplaces, up to several hours depending on the size of the catalog. Please consider this when setting the event's Start Time.
- Increment tables in AuctionBuilder and GAP Toolbox must match exactly. The increment table that is created in AuctionBuilder will export and sync GAP Toolbox. Lot-level increment tables cannot be used on timed cross-listed events.
- Reserves given to lots should not be adjusted once the auction has been published.
- When using Wavebid for cataloging a cross-listed timed auction, the auction should be created in AuctionBuilder and then linked in Wavebid. More details can be found here.
- When using Wavebid for post-auction sale results and invoicing for a cross-listed timed auction, some details may need to be manually imported into Wavebid. More details can be found here.
Create a Cross-Listed Timed Auction
Please note, Plug'n Pay can only be used to invoice bidders in GAP if it is setup before creating a cross-listed timed auction.
- Log into your AuctionBuilder account.
- Click the Create New Event link located on the left side of the page under 'AuctionTools'.
- A new section will appear in the center of the page.
- To create an event without using a pre-built template, click the Create a New Event link.
- To use a pre-built template to create an event, select a template name from the Pre-built Template field and click the Go button. If no pre-built templates have been created yet, this field will be empty. For more information, see Pre-Built Event Templates.
- On the following event set-up page, ensure that Timed is selected as the Event Type.
- The Event Type cannot be changed after the event is created.
- Select the option to Cross-list my auction.
- To cross-list to BidSpotter, select BidSpotter.com as a Marketplace.
- To cross-list to ATG White Label, Select Proxibid.com White Label as a Marketplace.
- Proxibid.com will be selected as a default marketplace.
- To cross-list the timed auction to other ATG marketplaces, you must first have those marketplaces enabled on your account and should review the details in these guides.
- These selections cannot be changed once the event is created.
- Enter an Event Title and Description.
- The Event Title has a 50-character limit.
- The Event Description has a 200-character limit.
- Text entered into the Event Description field in AuctionBuilder will appear in the Important Information field in GAP Toolbox.
- Select Primary and Additional Categories.
- A primary category that best matches the auction should be selected in AuctionBuilder. All Proxibid primary categories are mapped automatically to GAP Toolbox primary categories, although the naming of them will be different. Click here for category mapping details.
- Lot-level categorization in AuctionBuilder is done in the same way as for a non-cross-listed auction.
- Lot-level categorization in GAP Toolbox will be handled by the auto-categorization tool. This tool reviews the uploaded lot’s title, details and primary category to determine which subcategory it best falls into.
- Select the event's Approval Criteria for Buyers.
- Approval settings set in AuctionBuilder do not sync to GAP Toolbox.
- For BidSpotter and ATG White Label, default approval settings will need to be set at the account-level in GAP Toolbox. These defaults will be set by an ATG Admin during onboarding. To make changes to these settings, contact Seller Support.
- Enter the bidding start time and end time, as well as the closing time increment.
- The auction Start Time needs to be at least one hour in the future when publishing your auction in AuctionBuilder. This will give time to go into GAP Toolbox and confirm all auction options before bidding begins.
- Select a Currency.
- Enter the Sequential Paddle Number.
- Ensure that significantly different ranges of paddle numbers are used for AuctionBuilder and GAP Toolbox.
- Ex. The Proxibid paddle seed could be set in AuctionBuilder to start at 1,000 and the BidSpotter and/or ATG White Label paddle seed could be set in GAP Toolbox to start at 4,000 - to avoid potentially crossover.
- If preferred, check the Require SSN box to require that all bidders enter the last 4 digits of their Social Security Number (SSN) when registering for the event on Proxibid.
- This setting will not sync to GAP Toolbox, nor is this feature available on BidSpotter or ATG White Label.
- Click the Choose File button to select a Feature Image. This will be the image associated with the auction event on Proxibid.com.
- The Featured Image selected in AuctionBuilder will sync to the 'Hero Image' in GAP Toolbox.
- Click the Create button at the bottom of the page.
- The Payment & Terms page will open.
- The Payment & Terms page provides an auction company's contact information to bidders, and also contains the terms and conditions bidders agree to when they enter an auction event.
- Two of the fields on the Payment & Terms page will sync to GAP Toolbox:
- Text entered into the Special Terms of Sale field in AuctionBuilder will sync to the Terms and Conditions field in GAP Toolbox.
- Text entered into the Shipping Instructions field in AuctionBuilder will sync to the Shipping/Removals field in GAP Toolbox.

Accepted cards and payment options selected in AuctionBuilder will not sync from AuctionBuilder to GAP Toolbox. When your GAP Toolbox account is created, a set of default settings will be applied to your auctions for bidder registration and verification. These accepted cards are set at the account level and cannot be changed per event. Please contact Seller Support if you wish to adjust the accepted cards from the defaults.
- After reviewing the Payment & Terms page and clicking Save, your event will automatically be created (and 'Approved') in GAP Toolbox.
- Once the event has been saved, taxes, fees and premiums can be updated as needed.
- Once the catalog has been uploaded and the auction has been proofed, it can be published.
Deposits
Deposits are not supported on BidSpotter or ATG White Label for cross-listed timed auctions.
Pre-Authorizations
Pre-Authorizations can be taken in GAP Toolbox for BidSpotter and ATG White Label bidders for accounts that have Plug'n Pay enabled.
Set Taxes & Fees
Sales Tax
The auction-level and lot-level tax rates selected in AuctionBuilder will sync to GAP Toolbox. If you need to adjust the taxes on a few individual lots, you can do so via the Catalog Generator in AuctionBuilder. If you need to make changes to the lot-level taxes on a larger number of lots, please contact Seller Support for assistance.
For events using atgPay, AuctionBuilder will sent the default tax rate selected at the auction level.
Buyer's Premiums
Buyer’s premium for cross-listed auctions will be taken from the account-level and lot-level on AuctionBuilder and will synch to GAP Toolbox. If you need to adjust the Buyer's Premiums on a few individual lots, you can do so via the Catalog Generator in AuctionBuilder. If you need to make changes to the lot-level Buyer's Premiums on a larger number of lots, please contact Seller Support for assistance.
- Ensure you have the required account-level Buyer’s Premium set in AuctionBuilder when creating a cross-listed event. If you do not, are not sure what it is, or want to adjust the value, please contact Seller Support.
- If a Buyer's Premium is not Active on an event, downstream marketplaces will display a Buyer's Premium of 0%.
- Tiered buyer’s premiums are not supported on timed auctions cross-listed from Proxibid to GAP Toolbox.
If the sales tax for an auction is set up to calculate based on the 'running total', then that tax rate will be applied to both sales tax and Buyer's Premium in GAP Toolbox.
If the sales tax for an auction is set up to calculate based on the 'buyer's premium amount' and has a code of 'IBPT' then that tax rate will be applied to just the Buyer's Premium (not sales tax) in GAP Toolbox. If this fee type is not an option on your account, please contact Seller Support to have it added.
If there is not a specific Buyer's Premium tax set for the auction, and sales tax is set up to calculate based on the 'Hammer Price', then a Buyer's Premium of 0% will be sent to GAP Toolbox.
Other Fees
Taxes and Buyer's Premiums are the only fees that will sync to GAP Toolbox for atgXL events.
Build or Upload Your Catalog
Uploading Lots & Images
You can upload lots and images in the same way you would normally in AuctionBuilder - through the Bulk Loader or Catalog Generator. An auction must contain at least one lot before it can be published to GAP Toolbox.
- Lots and images should only be added and edited in AuctionBuilder and not in GAP Toolbox. Edits and editions will automatically push over to GAP Toolbox once they are saved.
- Images can take time to export and sync to your additional marketplaces, up to several hours depending on the size of the catalog.
- All lots must have a Lot Number and a Lot Description in order to properly export to GAP Toolbox. Lots that do not have a description and/or lot number will not appear on BidSpotter or ATG White Label.
- Lot Descriptions have a 5,000-character limit in AuctionBuilder.
- Lot Numbers have a 10 character limit in AuctionBuilder.
- Lot Numbers with an alpha character at the beginning of the lot number (e.g. A1 or B1) are not supported in GAP Toolbox. Lots will not appear on BidSpotter or ATG White Label unless that alpha character is moved to the end of the lot number or removed.
- Lots Numbers containing special characters (ex. 12.2, 12_2, 12-2) will not appear on BidSpotter or ATG White Label.
- When using Wavebid for cataloging a cross-listed timed auction, the auction should be created in AuctionBuilder and then linked to Wavebid. From there you can then upload the catalog and images. More information can be found here.
Adding Videos to Lots
A public YouTube video can be added to each lot and those videos will sync to GAP Toolbox. Regular or shortened YouTube URLs can be uploaded, but Live YouTube video URLs and YouTube Shorts video URLs cannot be uploaded. Private YouTube videos will not be visible to bidders on Proxibid.com, White Label, or BidSpotter.com.
YouTube videos will appear as the first image in the image carousel for the lot on BidSpotter.com and White Label., and will appear as the second image in the image carousel on Proxibid.com.

Setting Prices & Reserves
Set Ask Prices (Starting Bids) and Reserves in the same way you would normally when cataloging a Timed auction in AuctionBuilder.
- Ask Prices and Reserves that are off-increment will be rounded up to the next valid increment. This is to ensure bid alignment between Proxibid and BidSpotter/ATG White Label for the auction.
- An Ask Price (Starting Bid) equal to your first valid increment will be automatically created if one is not specified.
- The Ask Price (Starting Bid) on a lot should not be changed once bidding has begun on that lot.
- If changes are made to a catalog via import, the Ask Price (Starting Bid) should be included every time a new catalog is imported through the Bulk Loader.

Auction Edits
Once an auction is published, edits to the auction or lot information must only be undertaken in AuctionBuilder and not directly in GAP Toolbox. See the Feature Differences and Settings section for more information about which fields can or cannot be edited in GAP Toolbox or AuctionBuilder.

Proof & Publish Your Auction
Auction status is synchronized from AuctionBuilder to GAP Toolbox, however, the auction’s status must be set in a specific order for the sync to work properly. The correct status progression in AuctionBuilder is:
Disabled > Pending > Online
- A cross-listed timed auction cannot be switched straight from Disabled to Online in AuctionBuilder as it will not sync with GAP Toolbox.
- Once an auction's start time has passed, event details should not be edited. If edits/adjustments must be made after the auction start time, please contact Seller Support.

To update your event status, navigate to the Listing page for the auction, edit the Status drop-down, and then click the Update button at the bottom of the page. A confirmation message will appear.
Please note, an auction must contain at least one lot before it can be published to GAP Toolbox.

Edits to auction or lot information must only be undertaken in AuctionBuilder and not directly in GAP Toolbox. See the Feature Differences and Settings section for more information about which fields can or cannot be edited in GAP Toolbox or AuctionBuilder.

Close Your Auction
It is important that you only close your auction once it is finished. Do not attempt to close the auction midway through or between selling days where your sale covers more than one day.
Close the auction in AuctionBuilder by setting the status to Closed. This status change should occur automatically in AuctionBuilder, but steps for changing it manually, if needed, are below.
- Navigate to the event in AuctionBuilder and confirm that all bidding in the auction has been completed.
- Navigate to the auction's Listing page and select Closed from the Status drop-down.
- Click the Update button at the bottom of the page. A confirmation message will appear.
Close the auction in GAP Toolbox by clicking the Close Auction button.
- Navigate to the listing in GAP Toolbox.
- Confirm that bidding in the auction has been completed and review any results/reports for accuracy.
- Click on the Auction Details menu option on the left side of the page.
- Click the Close Auction button at the top of the page.
Results & Invoicing
Reports/Results
Results should be obtained from each marketplace separately, as they are not consolidated into one place automatically.
Reports in AuctionBuilder
These will only show buyer details of Proxibid bidders. Bids from BidSpotter/ATG White Label will be represented in AuctionBuilder by “offsiteBidder” with a paddle number of “-3”. Buyer details for these bidders can be accessed via GAP Toolbox.

Results in GAP Toolbox
These will show all bids, but only correct buyer details for BidSpotter/ATG White Label bidders. Proxibid bidders will be displayed as “PB xxxxxxxx”.

- When using Wavebid for invoicing on an atgXL auction, some details from the GAP Toolbox export may need to be manually imported into Wavebid. More information can be found here.
Passing Lots
Passing lots should follow the standard steps of the marketplace the winning bidder is on.
In AuctionBuilder, lots that do not meet the Starting Bid or Reserve price may show as 'Passed' during the auction. If you need to have a lot passed after the auction, please submit an Invoice Review or contact Seller Support.

Invoicing
Notifying and invoicing your winning bidders must be conducted on each of the marketplaces your timed auction is listed, as results are not consolidated into one place automatically.
Invoicing in AuctionBuilder
- BidSpotter and ATG White Label bidders will be represented in AuctionBuilder by “offsiteBidder”.
- If the intention is to invoice through atgPay, these bidders will need to be removed or excluded from the invoice list before invoicing.
- Proxibid bidders in AuctionBuilder can be invoiced in the normal way.
Invoicing in GAP Toolbox
- Proxibid bidders will be represented in GAP Toolbox as “PB xxxxxxxx”.
- These bidders will need to be removed from the winning bidder export from GAP Toolbox before invoicing.
- Plug'n Pay is available for BidSpotter and ATG White Label bidders.

Event Fees & Billing
Event Fees
Listing fees and commissions can be found in the Proxibid rate card - your Client Success Manager will confirm listing fees and commissions with you ahead of the auction.
Billing
Billing will generally be handled separately for Proxibid and GAP. Depending on your setup, you may receive multiple invoices (one from Proxibid, one from BidSpotter, and potentially one from ATG White Label) and they will all be in your native currency ($ for US Proxibid clients). Your Client Success Manager should be able to review billing with you in more detail.
Feature Differences and Settings For Timed atgXL Auctions
This table describes the features that are not available on Timed auctions that are cross-listed from Proxibid to GAP Toolbox. It also describes the auction and lot fields that don’t automatically sync or align between AuctionBuilder and GAP Toolbox:
- Enabling these features where they are not available in GAP Toolbox will result in disruption to your cross-listed timed auction and in some cases can only be remedied by shutting down the entire auction on all marketplaces.
