This article describes the basic steps for creating categories and exporting a catalog from Auction Flex to be imported into Proxibid. This article is intended to provide basic Auction Flex steps, please contact Auction Flex directly for more detailed information.
Exporting from Auction Flex
- Launch Auction Flex and navigate to the catalog that needs to be exported and uploaded to Proxibid.
- Click on the Export button.
- Enter the Field Order. Enter 1 to have a column first, 2 to have the column come second, and so on.
- If a 0 is entered, the column will not export.
- The order of the fields should be in the order Proxibid needs in order to properly upload a catalog.
- 1 = Lot Number
- 2 = Sale Order
- 3 = Lead
- 4 = Description
- 5 = Quantity
- 6 = Consigner/Vendor Code
- To the right of the Description field order, select Extended Description.
- Select Image Options.
- Export What: All Images 1, 1-1, 1-2
- Image File Name: File Name as Lot #
- Image Quality: Web Image
- Image Column(s) info: Image Name Only
- Under the File Type section, select the Comma-Delimited Text File (.CSV) radio button.
- Uncheck the Use Default box at the top of the page and select where the file should be saved.
- Click the Export button in the bottom right corner of the page.
- The file will be saved and a pop-up window will appear.
- Click the Ok button to continue.
Formatting a Spreadsheet
- Open the .CSV file from Auction Flex.

The export from Auction Flex does not include column headers, which are needed by Proxibid. As such they will need to be entered manually.
- Insert a new Row 1 and add column headers for Lot Number, Sequence Number, Title, Description, and Quantity.
- See below for information on adding Categories and Lot Details (metadata) to lots.
- Delete Columns E, F ,G ,H , and J-AQ.
- Save the updated file.
- The catalog spreadsheet is now ready to be uploaded to AuctionBuilder.
Adding Categories and Lot Details (Metadata)
Auction Flex users have ways of customizing lot specific information such as a Category or Lot Details (metadata) in Auction Flex during lot creation. For more information on Proxibid categories, see Categorization & Metadata.
- Launch Auction Flex, navigate to the catalog that needs to be exported and uploaded to Proxibid, and click on the Miscellaneous drop-down.
- Click on Maintain Settings & Options.
- Click on the Group+Cat tab.
- Use the drop-down to select the AFlex Group that most closely matches the top level Proxibid category. Subcategories can then be add as needed.
- Please refer to the Proxibid Category Legend for a list of current available categories. The correct Proxibid Category Code will needed to be added if the catalog is going to be uploaded to Proxibid.
- Example: In Auction Flex, under Antiques & Collectibles, there's a category for "Dolls". However, the correct Proxibid Category Code would be "Doll". "Doll" would need to be added/edited in Auction Flex so that when the category is exported and then uploaded to Proxibid, the value is recognized by the Bulk Loader. Please contact Auction Flex directly for assistance with custom categories.
- When exporting the auction from Auction Flex, be sure to include the AFlex Category in the Field Order. This ensures that a Category column will be exported.
- After exporting the catalog, confirm that the category column header is "Category" or Proxibid's Bulk Loader may not recognize the column.
